Pod_Together participants,

Today is our first check-in! You can check in over email (pod.together@gmail.com), dreamwidth comment, or via discord message to klb, shmaylor, minnabird, or rockinhamburger --whichever feels most comfortable to you. A single person can check in for your entire group, although if each person wants to check in individually, that’s fine too. (If you signed up as a group and did not opt-in to check-ins, you obviously aren't required to check-in, but are certainly welcome to if you would like!)

Completed writing is due in 3 weeks, on Sunday July 27th. When you check in, let us know if you feel on track for that deadline so far. We'd also love to know what's going well in your group and any worries you may have about your group or your project.

In addition to checking in with us, make sure you check in with your partner(s). Sharing your work-in-progress with your partner(s) is mandatory, and the minimum requirement is once per check-in. That means that, if you haven't already shared what you have so far, now is the time to do so. Partners, don’t forget to give feedback/encouragement on the work-in-progress when you see it!

Writers, as long as your podficcer checks in, you’re not required to, but if you’re up for it we’d love to hear about any particular parts of your experience you want to share. The positive will make us smile, and the negative will give us an opportunity to offer help or give us valuable feedback that will help us tweak next year’s challenge to be better!

Some important notes/reminders:

  • Remember to share any edited audio you have with your partner(s), and let them know what you’ve accomplished so far.

  • Once your podfic is complete, you should follow the posting instructions to add your podfic to the collection! Please let us know when your project is fully finished and ready for reveals! :D

  • Podficcers, please make sure you have given your writers some love about the work that they’ve done. Tell them what you think is great about their words. Sometimes in the rush to get things done, this step gets skipped, but it’s so important to everyone having a good experience! (Writers, once you hear the podfic, make sure you give your partners some love as well.)

  • The Early Podfic submission date is Wednesday, August 21st. After the podfic deadline, mods will create a schedule for revealing completed projects, evenly distributed across a ten-day posting period. Projects that meet the Early Writing AND Early Podfic submission deadlines will be posted first, followed by projects that meet the Early Writing OR Early Podfic submission deadline, followed by all other projects.

  • If you think it would enhance your podfic to have multiple voices contribute, feel free to let us know and we’d be happy to signal boost a search for volunteers!

The collection is moderated and set to "unrevealed" so the stories will show as "mystery" works until the mods reveal them on the scheduled posting day. If your podficcer is not included as a co-creator on the AO3 post, please contact a mod when you submit your writing to confirm that your podficcer has access to the completed text. If you're not feeling confident in your ability to finish the writing within the next 7 days, please let us know and we can talk about:

  • The possibility of an extension. Please note our extension policy: "Each participant can receive a maximum extension of 7 days past their deadline. If you request an extension, please tell us how long you would like that extension to be. Up to 3 days will be granted automatically to everyone, and extensions of up to 7 days will be granted automatically to those who used Group Sign Ups. For those who used Match Maker Sign Ups, if an extension of 4–7 days is needed, please include a plan for how you intend to finish within that time."

  • The possibility of getting a beta or cheerleader.

  • The possibility of getting a co-writer.

  • The possibility of writing a shorter version of your original story plan for your podficcer to begin recording (which is able to stand alone in case a life emergency stops you from writing more) with the agreement that if there is time and interest by both parties, you might create additional scenes later to add on.

  • The possibility of (with your partner's approval) leaving some areas of the script for podficcer ad-lib.

  • The possibility of additional scheduled accountability check-ins, if that will help keep you motivated and not stressed!


Also, please remember to share what you've written so far with your partner. This means not just an update of your progress but sharing your draft itself. The minimum requirement is once per check-in!

Finally, if you're realizing that what you really need in order to take care of yourself is to drop out, that's fine. Yay self-care! Please let us know as soon as possible though, so we can offer your partner a pinch hitter.

Welcome to the final check-in! We look forward to hearing from you and hope you are having fun! Please try to check-in within 48 hours. We will send follow-up emails to anyone we haven't heard from at that time

Podficcers, when you check in, please let us know what’s going well, any concerns you have, and where you are in regards to meeting the August 23rd deadline.

Writers, as long as your podficcer checks in, you’re not required to, but if you’re up for it we’d love to hear about any particularly positive or negative parts of your experience. The positive will make us smile, and the negative will give us an opportunity to offer help or give us valuable feedback that will help us tweak next year’s challenge to be better!

Some important notes/reminders:

  1. Remember to share any edited audio you have with your partner, and let them know what you’ve accomplished so far.

  2. Once your podfic is complete, you should add it to the same AO3 post as the text (or if your group hasn't put the writing in the collection yet, create a post that contains both the text and the podfic). Remember to put the podfic at the top of the post! If you need some help with posting, the instructions are here And let us know when your project is fully finished and ready for reveals! :D

  3. Podficcers, please make sure you have given your writers some love about the work that they’ve done. Tell them what you think is great about their words. Sometimes in the rush to get things done, this step gets skipped, but it’s so important to everyone having a good experience! (Writers, once you hear the podfic, make sure you give your partner some love as well.)

  4. The Early Podfic deadline is Wednesday, August 19th. At the end of the challenge, mods will create a schedule for revealing completed projects, evenly distributed across a ten-day posting period. Projects that meet the Early Writing AND Early Podfic submission deadlines will be posted first, followed by projects that meet the Early Writing OR Early Podfic submission deadline, followed by all other projects.

  5. If you think it would enhance your podfic to have multiple voices contribute, please let us know and we’d be happy to find you volunteers!

It's time for our second check-in! Please try to respond to this check-in within 48 hours. We will send a follow-up email to all those we have not heard from at that time. You can check in over email, twitter message, discord message to klb or shmaylor, or here on dreamwidth--whichever feels most comfortable to you.

The complete writing is due in one week, on July 26th. Writers can either email us a link to a shared version of their draft that their podficcer has access to (for example a shared Google Doc) or post the text to the Pod_Together 2020 collection on AO3. The collection is moderated and set to "unrevealed" so the stories will show as "mystery" works until the mods reveal them on the scheduled posting day. All group members should be included as co-authors on the AO3 post. You can find full posting instructions here.

If you're not feeling confident in your ability to finish the writing within the next 7 days, please let us know and we can talk about:
  • The possibility of an extension. Please note this year's extension policy: "Each partner may request only one extension. Extensions of three days will be given with no questions asked. If more time is needed, you can receive an extension of up to 7 days total, but you will be required to include a plan for how you intend to finish within that time. Writing out the plan will help you structure your time and keep yourself accountable, and we can use our modly experience to give you feedback and ideas that might make your plan even better."

  • The possibility of getting a beta or cheerleader.

  • The possibility of getting a co-writer.

  • The possibility of writing a shorter version of your original story plan for your podficcer to begin recording (which is able to stand alone in case a life emergency stops you from writing more) with the agreement that if there is time and interest by both parties, you might create additional scenes later to add on.

  • The possibility of (with your partner's approval) leaving some areas of the script for podficcer ad-lib.

  • The option of scheduled accountability check-ins, if that will help keep you motivated and not stressed!


Also, please remember to share what you've written so far with your partner. This means not just an update of your progress but sharing your draft itself. The minimum requirement is once per check-in!

Finally, if you're realizing that what you really need in order to take care of yourself is to drop out, that's fine. Yay self-care! Please let us know as soon as possible though, so we can offer your partner a pinch hitter.

Today is our first check-in! You can check in over email, twitter message, discord message to klb or shmaylor, or on dreamwidth--whichever feels most comfortable to you. A single person can check in for the group, though if each person wants to check in individually, that’s fine too.

In addition to checking in with us, make sure you check in with your partner(s). Sharing your work-in-progress with your partner(s) is mandatory, and the minimum requirement is once per check-in. That means that, if you haven't already shared what you have so far, now is the time to do so. Partners, don’t forget to give feedback/encouragement on the work-in-progress when you see it!

Completed writing is due in 3 weeks, on July 26th. When you check in, let us know if you feel on track for that deadline so far. We'd also love to know what's going well in your group and any worries you may have about your group or your project. Comments on DW are screened.

It's very early in the game, so if you are anticipating difficulty, this would be a great time to start discussing problem-solving options. We're happy to help in any way we can to ensure you and your partner(s) have as positive an experience as possible! And if everything’s going awesome, YAY, we can’t wait to hear all about it!


P.S. While we have you here, one small announcement: as part of the effort to make pod-together a more antiracist space, we want to create a space for our community to engage in conversation about writing and performance on Discord focused around one antiracism article or post each week, so that everyone who wants to participate can read the same thing at around the same time and process it together. If you have not yet joined the Pod_Together Discord but are interested in joining to participate in these, please let us know and we would be happy to send you an invite code.

Rule Change: A number of streaming players no longer work on AO3 due to site changes that affect embedded objects. Therefore, this year we'll allow click-through streaming (via sites like Dropbox or Soundcloud, for example) as an acceptable alternative to embedded streaming. For those who do still wish to include embedded streaming, we recommend using the player at podfic.com, which still works on AO3. Please let us know if you need any help!
